Your role

For this notary office, we – tHRee – are looking for a Administrative Secretary / Front Desk Officer.
You will play a central role in the daily organisation of the office and act as a key point of contact for clients, partners and public authorities.

This position combines administrative, organisational and interpersonal responsibilities in a demanding and dynamic setting.

Your responsibilities

  • Welcoming clients, both in person and by phone

  • Scheduling and managing appointments

  • Drafting and formatting letters, emails and documents

  • Preparing signature legalisations, apostilles and certified copies

  • Administrative follow-up of files (scanning, copying, filing, data entry)

  • Preparing video conferences and managing digital signatures

  • Handling post-deed formalities and administrative file closure

  • First-line IT support and contact with suppliers

  • Managing office supplies and orders

  • Liaising with public administrations

  • Daily support to the notary and colleagues

Your profile

  • Fluent in French and Dutch (spoken and written)

  • Strong sense of responsibility and proactive mindset

  • Excellent organisational skills and priority management

  • Able to work independently while collaborating effectively in a team

  • Comfortable with standard office IT tools

  • Knowledge of ActaLibra is an asset

  • Strong client orientation, discretion and professional presentation

  • Previous experience in a notary office is a plus
