We’re hiring a Legal Administrative Assistant for an independent notary office in the Brussels area. You’ll support the legal team in the preparation of notarial deeds and communicate with clients and external parties. What You’ll Do

As a Legal Administrative Assistant, you support the notary office in the crucial preparatory phase of notarial deeds. Your role is varied, detail-oriented, and essential to the smooth functioning of the office.

Your tasks include:

  • Opening and managing files from the initial request

  • Collecting and verifying required documents from clients, banks, and public institutions

  • Preparing deeds administratively: requesting certificates, verifying data, organizing and preparing documents for the legal team

  • Monitoring deadlines and ensuring everything is available on time and in full

  • Maintaining smooth communication with clients and external partners to request information and provide clarity

Who You Are

  • You hold a Bachelor’s degree in Legal Practice or have relevant experience in a notary office

  • You are detail-oriented, organized, and precise

  • You have strong communication skills and build rapport easily with clients and third parties

  • You are proficient in MS Office and able to quickly learn new IT tools

  • You are bilingual in Dutch and French
